How to switch booking software without losing gift vouchers or balances

By The Scaling Firm · Updated

Short answer

Export clients, services and balance reports from your old system, import the clients and services first, then import the balances against those clients. Make sure your new system accepts the voucher codes clients already hold, and keep the old system readable until every balance has been checked.

Export everything first

  • Clients with email and phone
  • Services with prices and durations
  • Gift voucher balances with their codes
  • Package and course balances
  • Loyalty points and account credit

Import clients and services

Export your clients and services from your current system as a CSV and import them. You check every row before anything is saved, and you can undo an import.

Import balances against clients

Each balance row is matched to a client by email, then phone. Rows that do not match are listed for you to fix, so nothing is lost silently.

Keep old voucher codes working

Clients hold printed and emailed vouchers with codes from the old system. TSF Booking stores the old code with each imported voucher, so the client can redeem the code they already have.

Run both for a short while

Keep the old system readable for a few weeks. Check a handful of balances by hand, then point your website and social profiles at the new booking link.

Questions

Do clients need to do anything?

No. Their vouchers and balances move with them, and they book on your new link.

Can I undo an import?

Yes. An import can be undone if something looks wrong.

What about package expiry dates?

Imported packages keep their remaining sessions. Set the validity you want for new packages in each package template.
